This agreement (“Agreement”) is made between East Ende Eclectic E3 Studios (“Organizers”) and the undersigned artist (“Artist”) for participation in A Nightmare on Berry Street at East Ende Eclectic E3 Studios, a Halloween-themed art and creative event. By signing this agreement, the Artist agrees to the following terms:
1. Participation Requirements
Artist must provide examples of their artwork as part of the application process. Examples may include:
- Email submission of images or portfolio
- Shared website links
- Social media links showcasing their work
Only original artwork created by the Artist is allowed. AI-generated art is strictly prohibited.
Artist agrees to conduct themselves professionally and respectfully during the event.
2. Booth, Display, and Equipment
Artists are responsible for providing their own display materials and equipment, including, as applicable:
- Tables
- Chairs
- Displays, stands, or other merchandising equipment
- Lighting or electrical equipment needed for their display
- Any additional materials necessary to safely and professionally display their artwork
Booth spaces will be assigned by the Organizers based on availability, application approval, and payment received.
Artists must remain within their assigned area and may not obstruct walkways, entrances, exits, or impede the flow of attendees.
Artists are responsible for the setup, maintenance, and teardown of their own booth and artwork unless otherwise communicated by the Organizers.
3. Payment
Payment is required to secure an assigned artist space.
Full payment must be received by October 3, 2026.
Failure to submit payment by this date may result in forfeiture of the assigned space.
An Artist’s space is not considered fully secured until payment has been received and confirmed by the Organizers.
4. Conduct and Professionalism
The Artist will maintain a professional, respectful, and event-appropriate demeanor at all times.
Because this is a Halloween-themed event, artistic displays and costumes may reflect the theme; however, offensive, disruptive, threatening, or unsafe behavior will not be tolerated.
Organizers reserve the right to remove any Artist from the event for misconduct or violation of event policies without refund or compensation.
5. Event Rules
All artwork, displays, merchandise, costumes, and promotional materials must be appropriate for the event and venue.
Artists are responsible for the security of their own artwork, merchandise, equipment, and personal belongings.
Artists may not sell prohibited items or promote non-art-related commercial services without prior approval from the Organizers.
Artists must comply with all applicable venue rules and instructions provided by East Ende Eclectic E3 Studios and the Organizers.
Open flames, hazardous materials, weapons, or other potentially dangerous items may not be used as part of an artist display without prior written approval from the Organizers and venue.
6. Liability
The Organizers and East Ende Eclectic E3 Studios are not responsible for any loss, theft, damage, or destruction of artwork, merchandise, equipment, or personal property belonging to the Artist.
Artists participate at their own risk.
Liability insurance is recommended but not required unless otherwise communicated by the Organizers or venue.
7. Photography and Promotion
Organizers may photograph, film, or otherwise record the event for promotional, marketing, social media, website, advertising, and archival purposes.
By participating in the event, Artists grant the Organizers permission to photograph or record their booth, artwork, participation, and likeness and to use such material for promotional purposes without additional compensation.
Artists may also be tagged or identified in promotional content when appropriate.
8. Agreement Termination
Organizers may terminate this Agreement and remove the Artist from the event for failure to comply with the terms above, including but not limited to:
- Submission or display of AI-generated artwork
- Misconduct or unprofessional behavior
- Failure to provide artwork examples for review
- Failure to follow event or venue rules
- Failure to submit payment by the October 3, 2026 deadline
- Displaying or selling prohibited items
- Creating an unsafe environment for attendees, Artists, staff, or venue personnel
No refunds will be issued if an Artist is removed from the event for cause.
